REDCap Accounts for BILH Employees
BILH employees at all sites (including BIDMC, Exeter, Joslin, Lahey and Mt. Auburn users):
- Accounts do not need to be requested for employees: REDCap access is built-in to all BILH employee accounts. New users may log in to any REDCap server using the blue 'BILH User Login' button. During the first login, follow the on-screen prompts to fill in profile information and confirm your email address. Only after this initial log in will new users appear in the type-ahead for adding users to a project. (To truly utilize REDCap, users must be added to an existing REDCap project by the study team or request a new REDCap project for their study.)
- REDCap's 'Forgot your password?' link and password recovery emails do not work for BILH employees: All of the BILH REDCap servers use the Microsoft Entra login servers to authenticate BILH employees. Thus, for employees, the REDCap password = regular BILH password, same as for logging into email or a work computer. However, that also means that employees cannot change their password via REDCap; instead, they should use the BILH ITS Instructions on Password Change, or contact the ITS Support Desk at (617) 754-8080 for a password reset. Such a password change would then impact all related BILH systems. The REDCap password change options are still listed because they are useful for non-employees who use REDCap when collaborating on a study (i.e., have a "REDCap-only" account).
- REDCap accounts suspend (become inactive) after 365 days with no activity: If your account suspends, REDCap Support needs confirmation from the PI of one of your REDCap projects on that server to re-activate your account. Email edata@bidmc.harvard.edu and your PI, and ask your PI to confirm your account re-activation, and REDCap support to re-activate it. PIs can self confirm for any server where they lead a project.
- BILH has several REDCap servers; the accounts on these servers are independent of each other: That is, your account can be expired on one server, and active on another. REDCap servers @BILH
- User not in User Rights type-ahead: BILH employees who have never logged in to that specific REDCap server or whose accounts are suspended do not show up in the type-ahead for adding users to a project. New users should log in to make it easier for their study teams to add them; that first log in may not have access to any projects. Suspended users should contact REDCap Support.
